How Tracking Works
How the Aplyr Tracker unifies applications from Quick Apply, Autopilot, Gmail sync, and manual entries into one live view with stats.

- Your Tracker is one place for every job you've applied to — no spreadsheet required.
- It pulls applications from three sources: Quick Apply & Autopilot, Gmail Sync, and Manual entries.
- Confirmation and interview emails auto-thread onto the matching application, and live stats update as your search progresses.
The Tracker is the home base for your job search. Instead of digging through your inbox or keeping a separate spreadsheet, every application lands here automatically and stays up to date as employers respond.
How to use your Tracker
- Open the Tracker from the main navigation.
- Scan the stats row at the top — Total, Pending, Rejected, Interviews, and Recruiter Reachout — for a live snapshot of your pipeline.
- Browse the applications table below. Each row shows the company, role, source, current status, and date.
- Use Customize to filter by source (Gmail Sync, Quick Apply, or Manual) and choose which columns and stat cards you see.
- Click any row to open the application detail view, change its status, or read the emails linked to it.

Where your applications come from
The Tracker unifies three sources into a single view, so all applications are captured:
- Quick Apply & Autopilot — every job you submit through Aplyr is logged the moment it's sent, including jobs that Autopilot applies to on your behalf.
- Gmail Sync — when you connect Gmail, Aplyr reads application confirmation and interview emails and creates or updates the matching application automatically. This even surfaces jobs you applied to outside of Aplyr.
- Manual — applied somewhere Aplyr couldn't see? Add the application yourself so your pipeline stays complete.
📌 Note Connect an email source to get the most out of tracking. You can use your Gmail Sync, your Aplyr Inbox, or both. See Connecting and managing email sources.
What happens after you apply
Once an application is in your Tracker, Aplyr keeps it current for you. As employers email you, those messages are auto-threaded onto the matching application — so the confirmation, the assessment invite, and the interview request all live together in one place. When Aplyr detects a clear signal, it moves the application to the right status automatically.
Applications flow through these statuses: Applied, Assessment, Interview, Offer, Rejected, Follow Up, Recruiter Reachout, Job Board, and Other. You can always override a status manually if you know something Aplyr doesn't yet.
💡 Tip Already have a history of applications in Gmail? Run Scan Gmail to pull in past applications and back-fill your Tracker in one pass. See Scanning Gmail for past applications.
Reading your stats
The stats row gives you a live read on momentum without doing any math. Pending groups everything still in motion (like Applied, Assessment, and Follow Up), Interviews highlights forward progress, and Recruiter Reachout calls out inbound interest as its own signal. The small trend arrows compare this week to last week, so you can see whether your activity is picking up or cooling off.
⚠️ Warning Gmail-based tracking only works while your email stays connected. If you see a “Reconnect Gmail” warning, new confirmation emails won't be tracked until you fix it — see Fixing “Reconnect Gmail” warnings.
